Stock Approval Limits

Stock Approval Limits can be used to control what orders can be submitted by particular user types depending on the value.

Purchase Order Stages

  1. Draft
  2. Awaiting Approval
  3. Approved
  4. Received - Once a Goods Receipt has been created and submitted
  5. Invoiced - Once a Invoice has been created and submitted

Invoice Stages

  1. In Progress
  2. Awaiting Approval
  3. Approved

Once a Purchase Order or Invoice has been submitted it will go to the Awaiting Approval status. The approve/Reject button will only be displayed for users who have a high enough limit depending on the order value.

If you would like to use this functionality please email support@oneserve.co.uk to activate the setting for 'Enable Approve/Reject on Purchase Orders and Invoices ARPOI'

User Type Right - Stock Approval Limits [Stock_Rules]

1. Select the Cog icon to open the Admin menu
2. Select the Stock Approval Limit link under the Financial section
3. Use the plus icon to add a new approval limit or click on a existing one to make any changes.

4. Enter a description for the new approval limit

5. Select the type to determine if it will affect the Invoice section or Purchase Orders

6. Enter the approval limit, this limit will determine if the user type can approve a PO or Invoice depending on the total cost value of the order.

7. Select the user type that the rule will apply to

  

Purchase Orders

1. The first stage of a Purchase Order is Draft, to move the order on select 'Submit for approval'

 

2. The order will move to Awaiting Approval. The Approve and Reject buttons will only be displayed if your user type covers the value of the order.

If you are missing the Approve/Reject you will need to contact your Super User to review the Stock Approval Limits.

 

Invoices

1. The first stage of a Invoice is In Progress, to move the invoice on select 'Submit for approval'

2. The order will move to Awaiting Approval. The Approve and Reject buttons will only be displayed if your user type covers the value of the order.

If you are missing the Approve/Reject you will need to contact your Super User to review the Stock Approval Limits.
